4.708 Staff Mailboxes

    Staff mailboxes are provided as a means of distributing official school correspondence, memos, notices, and approved communications. They are intended primarily for school-related materials and not for personal use. 

    Access and Responsibility
    Each staff member is responsible for:
    • Checking their mailbox daily for important information.
    • Removing items promptly to keep mailboxes organized.
    • Maintaining confidentiality of any sensitive materials received.
    Distribution of Materials
    Only school administrators or designated personnel may place items in all staff mailboxes.
    • Announcements, flyers, or materials from outside organizations must receive administrative approval before distribution.
    • Students are not permitted to access or deliver items to staff mailboxes unless specifically authorized.
    Confidential and Time-Sensitive Materials
    Documents containing confidential information (such as student records, evaluations, or personnel documents) should be distributed by hand or through secure electronic means, not through staff mailboxes unless sealed and marked “Confidential.”
    Time-sensitive materials should be clearly labeled with deadlines or dates of importance.

    Respectful Use
    Mailboxes are part of a shared workspace and should be used respectfully. Inappropriate, personal, or unprofessional materials may not be placed in mailboxes at any time.

    Monitoring and Maintenance
    The school office staff will monitor the mailboxes periodically to ensure they are in good condition and used appropriately. The administration reserves the right to remove outdated materials or notices.
