2.702 Fundraising Process and Approval

    Policy Statement:

    Lakeway Christian Schools (LCS) recognizes the importance of fundraising to support various teams, clubs, and activities within the school community. This policy outlines the guidelines and procedures for fundraising activities conducted by these entities to ensure that they align with the school's mission, values, and fiscal responsibility.

    Scope:

    This policy applies to all fundraising activities initiated by teams, clubs, or groups associated with LCS.  This is not necessarily pertinent to the primary planned system-wide fundraisers.

    Fundraising Philosophy:

    LCS seeks to cultivate a culture of charitable giving within the school community. Fundraising efforts should primarily support the Advancement department to minimize financial burdens on families. While the school system hosts several large annual fundraisers to balance the budget, this policy is specifically geared toward fundraising requests held by individual teams or clubs.

    Fundraising Guidelines:

    • Approval and Coordination:
      • All fundraising activities initiated by teams, clubs, or groups must be approved by school administration.
    • Prohibited Activities:
      • Selling LCS merchandise outside of school stores is not allowed, as merchandise sales are exclusively conducted through school stores.
    • Gift Designation:
      • Designated gifts will be used exclusively for their specified purposes. The Board reserves the right to allocate designated gifts to specific categories as needed.
      • Donors may request information about the use of their gifts, which will be provided upon request.
    • Direct Solicitation:
      • Direct solicitation of funds from parents or teachers for in-class purposes is generally prohibited.
      • Small contributions for teacher gifts or class parties, facilitated by room parents, are permissible.
      • Parent, student, or teacher-directed fundraisers may be considered with prior permission.
    • Pledge Giving:
      • Funds received from pledge drives and similar initiatives will be allocated to the general fund unless donors specify otherwise.
    • Approval Process:
      • No fundraising activity may commence, be advertised, or communicated without prior approval through the designated request form.
      • The designated Fundraising Request Form shall be hosted on JotForm and facilitate an approval workflow.
